Equipment Information
Flexible Tracking Levels
Track your equipment fleet at the following levels: Equipment ID, Component (engine, transmission, tires, etc.), Cost Code (oil & lube, tune-ups), Cost Type (labor, parts, etc.). All level coding structures and descriptions are user-definable.

Equipment Attachments
Equipment may have multiple attachments (bucket, pup, etc). The equipment usage system can pick up the charge for the attachment automatically.

Equipment Assignments
Track equipment by the following assignments: Company, Department, Category/Class Location (yard, job/location), and Shop.

Specifications & Capacities
Detailed tracking of capacities, specifications, and fuel type used is available.

Ownership Information
The ownership screen tracks three different ownership types: Company Owned, Leased/Rented and Customer Owned. Detailed information is stored for each type.

Parts List & Warranties
A complete parts list is available for each piece of equipment. Parts may be tracked by manufacturer’s parts numbers as well as an internal cross reference number. Warranty tracking for major parts provides a warning to the mechanic if a specific warranty is active.

Transfer & Location Tracking
Dispatch your equipment using this flexible transfer screen. Equipment may be moved individually, or en masse. Transfer history is kept as long as needed.

Field Reporting Systems
Timely and accurate capture of daily crew timesheet information is vital to the success of your projects. Viewpoint provides two powerful options for connecting the field with the home office.

Viewpoint On-line Daily Timesheet Entry
With this program, foreman and superintendents can connect to the home office and use an intuitive crew timesheet form to report their daily activity. Hours (labor and equipment), unit progress and notes are captured in a form that mimics your current manual timesheets. The daily form is submitted electronically to accounting for approval and upload into the Payroll and Job Cost modules. Instant feedback is provided to the field supervisor as to whether a task is above or below estimate.

Remote Data Capture Options
Use leading third-party remote data capture systems to record daily field activity. These Laptop or Pocket PC*-based systems offer the convenience of a laptop or hand-held device and the benefits of local data validation. After the daily time and activity is recorded, the information is forwarded, electronically, to Viewpoint for approval and processing. Viewpoint offers standard imports with leading third-party field reporting systems including: HCSS (Heavy Job), POS Data, ThinkShare, Hard Dollar (EOS) and others.

Maintenance System
The equipment maintenance system is a powerful and flexible tool to manage all aspects of your shop operations. Preventative maintenance schedules, parts management/costing, warranty tracking, and work (repair) orders are all available in one system.

Maintenance Schedules
Create your own “maintenance groups” with an unlimited number of activities. Maintenance intervals may be based on hours, miles, fuel usage, or an annual fixed date. Maintenance items may include: repair type (preventative, repair, etc.), labor standards (estimated hours for an activity), and specified parts.

Parts Tracking
Track parts by a manufacturer’s parts number as well as an “internal” cross-reference number. The cross-reference capability provides the mechanic with an alternative part suggestion in the event that a specific manufacturer is not available. Parts may be required (always used) or optional (inspect and replace).

Work (Repair) Orders
Work orders may be created based on preventative maintenance schedules, or manually as needed. Work orders may be initialized based on due date, job, shop, equipment category, etc. Suggested workorders can be reviewed and edited before creation. The work order program is fully integrated with mechanics’ time entry and parts usage, and vendor invoicing for detailed costing and repair history.

Equipment Cost and Revenue
Viewpoint keeps complete cost & revenue history on each piece of equipment. Cost history is available at the following levels: Company—Department – Category – Equipment – Component — Cost Code — Cost Type — Detail Transaction. A large library of management reports and inquiries come with the module.

Component/Cost Code Structure
Track as many components under a piece of equipment as necessary. Components have the same detailed tracking mechanism as the master equipment. The component transfer program allows for the reassignment of a component to a new piece of equipment with full transfer of cost history. Equipment or components of equipment may have unlimited cost codes for detailed tracking of cost/repair history.

Revenue Code Structure
Define your revenue codes (hourly, daily, weekly, idle time, etc.) at the category or individual equipment levels. A revenue code may be broken down into revenue components (i.e. ownership, operating, etc.).

Equipment Profit/Loss Reporting
Viewpoint’s flexible Crystal-based graphical reports and drill-down inquiries provide profit & loss reporting at a variety of levels.

Indirect Cost Allocations
Spread indirect costs with user-defined allocation formulas. Allocations may be calculated based on cost incurred, hours of use, revenue earned, or other user-defined criteria. The allocations may be run by department, category or selected equipment.

Revenue Reporting
Viewpoint provides full integration between owner pay estimate processing, job cost and subcontractor pay estimate control.

Owner Pay Estimates
Owner pay estimates may be entered in a spreadsheet style entry screen. Entry grid options are: job-to-date units, this estimate units, percent complete, dollars to date, and dollars this estimate. An entry to one field will update the other fields automatically.

Auto Generate Subcontractor Pay Estimates
Subcontracted items on the owner pay estimate flow through to a subcontract worksheet program for review and approval. Approved subcontractor pay estimates are automatically updated to Accounts Payable for processing.

Paid vs. Earned Revenue Reporting
The Viewpoint Job Cost module tracks both paid and earned units. Reports are available on a daily, weekly, or as-needed basis that show over/under billed quantities (and dollars).
